and property owners. By accessing or using Raynix, you agree to these Terms,
Privacy Policy, and AI usage disclosures.
2. Eligibility & Accounts
You must be at least 18 years old to use Raynix. You are responsible
for maintaining the confidentiality of your account credentials and all activities
carried out under your account. Organisations must ensure they have lawful authority
to manage and process any data uploaded to the platform.
3. Services Provided
Raynix provides AI-driven communication and operational services, including but not limited to:
- 24/7 AI call answering and virtual assistant services
- Call recording, transcription, summaries, and sentiment analysis
- Property, tenancy, and housing operations management
- Predictive analytics for payments, maintenance, and compliance
- Workflow automation, reporting, and notifications
- Optional third-party integrations
4. AI Communication & Call Consent
Raynix includes AI-powered communication features that may answer calls,
interact with callers, record conversations, and generate automated responses, summaries, or actions.
Calls may be answered or processed by AI for service continuity, quality assurance, and operational purposes.
Calls may be recorded. Users are responsible for informing callers where legally required.
Continued use of these features constitutes consent.
5. AI Usage & Limitations
AI-generated insights, predictions, and communications are assistive and probabilistic in nature.
They do not constitute legal, financial, or professional advice. Raynix does not make fully automated
decisions with legal or similarly significant effects without human oversight.
6. Data Collection & Privacy
Raynix collects account information, operational data, property and tenancy records,
call recordings and transcripts (where enabled), and system usage data. Personal data is processed
solely to provide the service and is not sold.
7. GDPR & Data Protection
Raynix complies with UK GDPR and the Data Protection Act. Users have the right to access,
rectify, delete, restrict, or object to processing of their personal data, subject to legal
and regulatory requirements.
8. Council & Public Authority Use
When used by local authorities or public bodies, Raynix operates as a data processor under UK GDPR,
processing data only on the documented instructions of the controller.
Raynix supports lawful processing under public task, legal obligation, or legitimate interest.
9. Data Storage & Security
Data is encrypted in transit and at rest. Access is role-based and auditable.
AI processing may involve trusted third-party providers operating under appropriate data protection agreements.
While reasonable safeguards are applied, absolute security cannot be guaranteed.
10. Subscriptions & Payments
Raynix operates on subscription-based pricing plans. Fees are billed in advance and are non-refundable
unless required by law. Features and AI capabilities vary by subscription tier.
11. Acceptable Use
You must not misuse the platform, upload unlawful or unauthorised data, violate privacy or housing regulations,
interfere with system security, or attempt to reverse-engineer Raynix services.
12. Limitation of Liability
To the fullest extent permitted by law, Raynix shall not be liable for indirect, incidental, or consequential
losses.
Total liability shall not exceed the fees paid by the user in the preceding twelve months.
13. Governing Law
These terms are governed by the laws of England and Wales.
Any disputes shall be subject to the exclusive jurisdiction of UK courts.
14. DPR & Data Protection
◉ Data Controller & Processor: Raynix acts as the data controller. SmarterASP.NET acts as a data processor under
UK GDPR.
◉ Cross-Border Data Transfers: Some data may be processed outside the UK under standard contractual
safeguards.
◉ AI Call Handling & Consent: Calls may be recorded/transcribed. Users provide explicit consent by using these
features.
◉ Data Subject Rights: Users can access, rectify, delete, restrict, or object to their data processing.
◉ Data Portability: Requests can be submitted via support@raynix.uk.
◉ Data Security & Retention: All data encrypted; retained only as necessary.
◉ Third-Party AI Providers: Process data only under Raynix’s instructions and GDPR compliance.
◉ Modifications: Terms may update; continued use constitutes acceptance.
